Learn more about Office 365
I run a small business. I intend to migrate about 5 or 6 staff from using standalone Outlook 2010 and Outlook 2007 to Outlook on Office 365.
At this stage, we are trialling the use of Office 365 so I don't want to transfer everyone at once - I still need the business to function without confusing staff by shifting them into a new environment.
I need to move emails, calendars, contacts and tasks. If I can move rules and other features then that would be great. Also want to move the mail folders.
Is there a simple way of doing this?
Thanks for your time.
You can use .pst files to transfer Outlook messages, contacts, calendar items, tasks, and notes from the current mailbox to the Office 365 mailbox. However, rules cannot be transferred. The detailed steps are provided as below:
1. Export Outlook items to an Outlook Data File (.pst)
For Outlook 2007, refer to http://support.microsoft.com/kb/287070
For Outlook 2010, refer to http://office.microsoft.com/en-us/outlook-help/export-outlook-items-to-an-outlook-data-file-pst-HA102534110.aspx.
2. Connect the Office 365 mailbox to Outlook 2007 or Outlook 2010.
For Outlook 2007: http://help.outlook.com/en-US/140/cc511396.aspx
For Outlook 2010: http://help.outlook.com/en-US/140/dd253202.aspx
3. Import the .pst file to the Office 365 mailbox.
For Outlook 2007: http://office.microsoft.com/en-us/outlook-help/import-outlook-items-from-a-personal-folders-file-pst-HA102538008.aspx
For Outlook 2010: http://office.microsoft.com/en-us/outlook-help/import-outlook-items-from-an-outlook-data-file-pst-HA102505743.aspx
After the import process is completed, the mailbox data will be synced to Outlook Web App.
If you are using Exchange server, you can also try to migrate the mailboxes using cutover Exchange migration. For detailed information, please refer to http://help.outlook.com/en-us/140/ms.exch.ecp.emailmigrationwizardexchangelearnmore.aspx.
I wouldn't recommend using the PST file method. You run the high risk of having unrepliable emails when you are in Office 365.
Are you able to find out which server your standalone Outlook client connects to? If it is an Exchange, MigrationWiz can migrate all your emails, calendars, contacts, and tasks over.
